Authors Note:

This one came to me as I was writing On-Screen Completion (“OSC”) Forms.  It is a business fact that different departments often need to receive the same completed form.  Or a customer needs a pickup receipt, while the both the service department and the billing department needs to know of the transaction.  What is the traditional solution?  Three-part forms.  For many years, I have thought that the best way to handle three-part forms was to buy a Daisy wheel printer, or a typewriter with a computer interface.  And it works; it works.  You set up an OSC form with input cells wherever there are completion areas on your preprinted three part form.

But this is inspired.  It takes OSC forms straight into the new millennium.  I just have to figure out how to patent it!

Three-Part Forms

This is basically an enhancement of OSC forms.  When a three-part (or two- or four-part, etc.) form is needed, the OSC form simply needs to be printed three (or two or four, etc.) times:

*   Rainbow collated paper would be purchased or produced in-house.

*   The multiple print copies would be generated by one click on a customized toolbar button.

*   And finally, a simple macro would print a different notation at the bottom of each page (“Customer– White Copy;” “Service Department – Green Copy;” “Billing Department – Pink Copy”).

No special equipment is needed.  And the best is yet to come.

A Cost Comparison

The following table compares the paper and ink costs of one commonly used three-part form, purchase orders.

How Fast Will Your Savings Add Up?

Well, that depends on how many forms you use!  And that is before you add in the additional benefits of OSC forms: PC desktop access for all staff members, easy transitions whenever forms are updated, and the ability to maintain the information for all forms prepared in Access databases for easy printing, data retrieval and analysis.
